In addition, with the ability to store and index purchase order data based upon specific indices, such as purchase order number, vendor number and vendor name. Once a shipment is received, Receiving can access the purchasing data, verify received goods against the purchase order and authorize receipt. SCCI offers a host of document archiving services. Document digital archiving eliminates physical document storage costs and frees up physical space for more productive use. The case for document archiving is compelling. Physical documents deteriorate, are expensive to store, tedious to organize and difficult to retrieve.

Among the advantages of document archiving are the following:

  • One 1.44 MB computer diskette holds approximately 400 standard pages of text.
  • One CD-ROM holds approximately 10,000 to 15,000 indexed pages of text, or 1,000 to 2,000 photos.

Documents archived on a CD can be easily accessed using a Windows based personal computer's local CD drive, Jukebox or Tower on a local area network.

SCCI will integrate these document archives into an easy-to-use database, complete with search-by-keyword capability or search-by-document-word (any text in the document) capability. This program can run directly off the CD itself.

If you request the paper reports converted to Digital files, all pages keep their original appearance, including hand-written notes, signatures, pictures, charts, pictures, images, etc. At the same time, you have the ability to search the reports for many keywords, so it is easy to find the information. Another benefit is the capability of the archive to export the reports to stand-alone CD, so you can carry it with you everywhere you go. Documents can be stored as TIFF image files, or subjected to an Optical Character Recognition (OCR) application and stored as word processing documents.

SCCI's Archiving Process
The documents to be archived are prepared, organized and indexed by keywords to produce an optimal framework for digital search and retrieval.

Documents are scanned by a state-of-the-art high-speed scanner, capable of scanning many thousands of images per hour. Each page is hand-fed into the scanner, with each image individually inspected, to eliminate skewing, skipping, etc, and to improve results from folded or crumpled originals. If necessary, each image is enhanced to maximize its contrast or content.

As an option, all or select documents can be subjected to an Optical Character Recognition (OCR) application and thus stored as highly searchable and manipulable word processing documents. OCR work can be relatively simple or more complex depending upon the quantity and quality of content of the original document - amount of graphics, photos, tables, etc., and the degree of confidence required by the client.

The resulting digital image files are indexed across multiple record fields or keywords according to client-determined criteria.

Typically, the digital images are stored at a resolution of 200 to 400 dpi, depending upon the needs of the client. A database of the archived documents is generated, using non-proprietary off-the-shelf software applications. CDs are produced which contain each image of all documents and a user-friendly retrieval program with sort and search by keyword capabilities.
